Main Purpose of the Job

Responsible for providing secretarial, clerical and administrative support in order to ensure that the organisation services are provided in an effective and efficient manner. The Receptionist also serves as the first point of contact for external stakeholders and is responsible for addressing or redirecting enquiries in line with organisational guidelines.

Core Accountabilities and Responsibilities

  1. Answer high volume of calls and maintain a rapid response rate according to set standards.
  2. Log information on calls received, where required and maintains detailed and accurate records
  3. Respond to email queries and logs information on emails received.
  4. Maintain and continuously update, a log of the availability of staff most likely to receive inbound calls.
  5. Interpret and respond clearly and effectively to spoken requests over the phone, in writing and in person.
  6. File data and perform other routine clerical tasks as assigned and for other departments as needed.
  7. Operate a variety of standard office machinery including a personal computer.
  8. Establish and maintain effective working relationships with co-workers, supervisors and customers at large.
  9. To assist in binding board documents and other office documents.
  10. Ensure that the reception is kept clean and tidy at all times.
  11. Assist in typing and general clerical assignments as required.
  12. Report equipment faults in accordance with laid down procedures.

 

UNDERTAKE OTHER RELATED ACTIVITIES AS DIRECTED BY SUPERVISOR, ADMINISTRATION

Requirements

Qualifications:

  • Certificate in Secretarial services or equivalent.

 

Experience:

  • One (1) year’s experience operating busy switchboard.
