Summary

The incumbent will be responsible for contributing towards efficient customer service by receiving and directing visitors and telephone calls to the relevant departments in a warm and professional manner, ensures that the customers are assisted cordially and the work area is clean and tidy at all times. The incumbent will also be required to perform adhoc administrative duties.

Description

The incumbent will be responsible for, among other, the following;

  • Receiving and promptly acting upon incoming and outgoing telephone calls going through the switchboard /reception.
  • Reporting all cases of defects or any related problems regarding the functioning¬†¬† of the reception switchboard/equipment.
  • Ensuring that the reception area is kept clean and tidy at all times.
  • Receiving and signing for all incoming deliveries / parcels / mail, sorting, distributing and ensuring timely delivery of messages to respective recipients.
  • Working closely with the Driver Messenger to dispatch mail as required.
  • Maintaing strong relationships with a positive attitude and professional appearance.
  • Maintaining front door security and reporting any suspicious activity.
  • Ordering supplies for the rest of the office and keeping basic office supplies, like pen stocked and accessible to visitors.

Minimum Requirements

The right candidate will possess the following minimum requirements:

A Diploma in Secretarial Services or a relevant area.

Proficient in English and Setswana

Microsoft Office

A minimum of 2 years experience as a Front Desk Officer or Receptionist
